The following article explains the six distinct user roles in simpldiscipline, along with the additional permissions that can be assigned to individual users.

User

The User role is automatically assigned to all staff members. Users can submit discipline incidents, minor infractions, and positive referrals for all students at the locations where they are assigned.

Staff locations are managed through Student Information System school affiliations and sync to simpldiscipline hourly.

Users do not have access to the Reviewer area or administrative settings. Depending on the district and/or school visibility settings, Users may have access to student history and reporting; however, this access is limited to students who are rostered to them. Users cannot use these areas to view data for students outside of their roster.

Elevated Roles

Reviewer Read-Only

The Reviewer Read-Only role allows users to view information in the Reviewer area, including:

  • Student history
  • Incident information
  • Student Overview pages
  • Reports and analytics

This role is view-only. Users cannot approve, edit, deny, revert, or send notifications for incidents, minor infractions, positive referrals, or truancy tasks.

Users can still submit and document incidents, minor infractions, positive referrals, and notes for any student at their assigned school.

Reviewer – Truancy Center Only

The Reviewer – Truancy Center Only role provides access only to the Truancy Center and truancy-related student information.

Users can:

  • Work truancy tasks
  • Process truancy incidents
  • Generate and send truancy letters

Users cannot:

  • Access or manage non-truancy discipline information
  • Approve discipline incidents
  • Make changes to non-truancy data

Users can still submit and document incidents, minor infractions, positive referrals, and notes for any student at their assigned school.

Reviewer Read-Only + Truancy Center

This role combines Reviewer Read-Only access with Truancy Center access.

Users can:

  • View general student and incident information
  • Access reports and analytics
  • Manage truancy tasks
  • Process truancy incidents
  • Generate and send truancy letters

Users cannot:

  • Approve non-truancy discipline incidents
  • Make changes to non-truancy discipline incidents
  • Make changes to minor infractions, notes or positive referrals

Users can still submit and document incidents, minor infractions, positive referrals, and notes for any student at their assigned school.

Reviewer

The Reviewer role provides full access to the Reviewer area, including:

  • Discipline incidents
  • Minor infractions
  • Positive referrals
  • Student history
  • Reports and analytics
  • Truancy Center

Reviewers can process incidents by approving, denying, reverting, and updating them, as permitted by district settings. Approved incidents synchronize with the Student Information System.

Reviewers can also perform administrative functions that a Super Administrator has delegated to school-level reviewers.

This role is generally appropriate for school-level administrators and discipline staff.

Super Administrator

The Super Administrator role is intended for district-level administrators responsible for managing simpldiscipline district-wide.

In addition to Reviewer functionality, Super Administrators can manage:

  • District settings
  • Letter and form templates
  • Visibility settings
  • System configuration
  • Elevated user roles and locations
  • Audit logs and import logs

Super Administrators also have access to data across all district locations.

Important: Because this role provides broad district-wide access and configuration abilities, it should generally not be assigned to school-level users.

Additional User Special Permissions

The following permissions can be assigned to individual users in addition to their standard role.

District-Wide Student Incident Submission

Allows the user to submit discipline referrals and minor infractions for any student in the district.

This is helpful for staff members who work across multiple schools, such as bus drivers or other district-wide personnel.

Note: Only users with the Super Administrator role can grant this permission.

View All Calendar Events

Allows the user to view all calendar events for students at the locations or schools they have access to. This is helpful for ISS aides and other staff members who are not Reviewers but need access to suspension and detention schedules.

This permission does not provide access to discipline details. Users can only view the assigned action and the associated dates.

View All Data for Rostered Students

Allows the user to view all of the following information for students rostered to them:

  • Discipline incidents
  • Minor infractions
  • Positive referrals
  • Notes

This includes information submitted by other staff members.

This permission is useful when you want to give individual teachers expanded access without enabling incident visibility for all teachers. Learn more about configuring incident visibility.

Exclude from Automatic Role Assignment

Only enable Exclude from Automatic Role Assignment if automatic role assignment is enabled for the district and you do not want this user's roles and permissions to be managed automatically.
