simpldiscipline allows users to attach files and generate letters as part of many parts of the system These files may be associated with discipline incidents, minor infractions, notes, positive referrals, or truancy tasks.
Users also have the ability to remove items when needed. Depending on the type of item, this action will either delete the file or void the generated letter.
Deleting Uploaded Attachments
Attachments can be uploaded to records such as discipline incidents, minor infractions, notes, and truancy tasks. These attachments may include supporting documentation such as screenshots, reports, or other files.
Users have the ability to delete uploaded attachments if they were added in error or are no longer needed.
Important notes about deleting attachments:
•Deleting an attachment is a permanent action.
•Once an attachment is deleted, the file cannot be recovered.
•simpldiscipline maintains a full audit log that records:
•The name of the document
•The user who uploaded the document with the related date/time
•The user who deleted the document with the related date/time
This ensures that even though the file itself is removed, there is still a historical record of the document activity.
How to Delete an Attachment
1.Navigate to the record containing the attachment (incident, minor infraction, note, or truancy task).
2.Locate the uploads and attachment section.
3.Click Edit.

4.Select the attachment(s) you would like to remove.
5.Click Delete selected.
6.A warning message will appear indicating that the action is permanent.
7.Select OK to confirm the deletion.
Once confirmed, the attachment will be permanently removed from the record.
Voiding Generated Letters
Unlike uploaded attachments, generated letters cannot be deleted. Instead, they can be voided.
When a letter is voided:
•The letter remains in the record for historical purposes.
•The letter will appear struck through with the label “Voided.”
•The letter will no longer appear as an option when sending notifications to parents or guardians.

simpldiscipline uses voiding instead of deletion to ensure there is a complete historical record of all letters that have been generated. This is important because a letter may have already been printed or sent outside of the system, and removing it entirely could eliminate that documentation.
Voiding allows users to mark letters as incorrect or no longer needed while still preserving a clear record of what occurred.
How to Void a Generated Letter
1.Navigate to the record containing the generated letter.
2.Locate the Letter section.
3.Click Edit.

4.Select the letter(s) you would like to void.

5.Click Void selected.
6.A warning message will appear indicating that the action is permanent.

The letter will remain visible in the record but will appear voided and will no longer be available for parent
